The modern day organizations do have the need to have the document management systems . It solves many of their problems related to the organized safe keep of the documents and makes them least worried about these. If it were not for these modern systems, the offices would have been in a big mess. The records would have grown voluminous. There would have been problems of retrieval which could have affected the workflow operations within the organization as well as severely impacted the customer service operations. There are separate facilities provided by the companies specializing in the document management systems. They would take away the records which you do not need in the business cartons, to the places where these can be kept safe. The modern document management system does not let any of these problems come in the way of efficient operations of the organization.

Some of the basic fundamentals of the records management systems are:

1. Storage as per importance: The storage of the records can be done on different media. These can be digitized and stored on the DVDs, microfilms and even be located at the remote servers. Depending on the importance of the records, these could be kept stored on different media of storage and a diversified storage could mean that documents are safer.

2. Retrieval as per requirements and due authority: To facilitate easy retrieval, it is important that the documents are proper classified and indexed and there are separate levels of authorization for providing access to these documents. The experts working on the document management systems could also help the organizations to devise policies related to the authorizations of access and safe keep of the documents.

3. Automatic work flow: The modern document management systems can integrate the document processing at one level with the next levels where these might be needed. So, once the processing is over at one point, the document is ready for use at the next level. This greatly improves the efficiency and leads to faster operations. At the same time, the document can be accessed from the different locations or by different people.

4. Facility of anywhere and anytime access: The document management system can seek integration of the systems located remotely by using the server or web hosting based storage of the documents. This facilitates the retrieval of the documents even from the remote locations. The people in the other branch of the organization do not have to wait for the physical deliver or the delivery through the email of the documents for processing at their end and, thereafter, sending the same to the other location. Instead, the same can be accessed from the remote storage location, worked upon and then either re-stored or sent to the next level.

The concept of the paperless office is furthered by the making the use of these modern document management systems, without comprising on the requirements of the organization. The paper work is reduced considerably. These, in fact, increase the efficiency of operations.
