Letter Writing Tips
In olden days, letters were the only means of communication. Even today, letters play a vital role in our routine life. They can be used in businesses for announcing any important notifications, events or may also be used for personal purpose. One should know how to write letters for effective letter writing. The article includes letter writing tips that will help you to make an impact on the reader.
Sections in Letter:
Address:
When you start to write the letter, mention your address on the top of your letter, so that the reader will know who has sent the letter and where to send the reply.
Date:
Include the date after the address. Write the date in the format Month Day Year. For example, January 15, 2009
Inside Address:
The inside address is the address of the person to whom the letter has been written. The address is generally written on the envelope. It includes the name of the recipient, recipients address, and phone number. If you are writing a business letter, the inside address will include the name of the recipient, title, company name and
address.
Greetings:
Greetings are addressed to the recipient. For the formal letters, the greetings such as “Dear” and “Beloved” are most commonly used.
Informatory Paragraph:
The first paragraph of any letter should describe the purpose of writing the letter. It should clearly outline the reason for sending the letter. The first paragraph of the letter will set the tone for the rest of the letter. The first paragraph will include the summary of the letter and the main letter body will provide the detailed description of the reason for writing letter.
Main Letter Body:
The letter body depends on the first paragraph of the letter. It will provide the detailed information on why the letter has been written. For informal letters, this section will express thoughts and feelings of the individual. For personal letters, the letter body can range anywhere from multiple pages. For business letters, letter body may range within one or two pages.
The last paragraph of the letter should state the action you expect the recipient to take after reading the letter. It normally includes telling the recipient reply to the letter.
Ending the Letter:
At the closing of the letter, person writing letter will finish any thoughts mentioned in the letter body and close the letter. The closing of letter can be done in different forms. One can use “Yours Truly” for the familiar person. “Yours sincerely” is the traditional way of ending the letter. It can be use in the letter describing different situations.
Presenting the Letters:
The formal letters can be type-written while the less formal or informal letters addressed to friends and family members can be hand written. You can type write the letters if you have illegible handwriting. The business letters should be mandatory type written to give it a professional look.
The formal letters should be checked for grammatical and spelling errors. Typing the business letters is one of the most effective ways to demonstrate the professional appearance through entire course of write letter.
